The 2017 Conference is being held at the Westin Hotel in West Houston – specially selected to accommodate exhibitors in a more spacious environment providing better traffic flow and better interaction between vendors and delegates.

Exhibitors will have the opportunity to set up on October 9, 2017.

Exhibit space is $2,500 per booth space- subject to confirmation in early 2016.

SETUP
Exhibit set up will be on MONDAY OCTOBER 9, 2017. from 12:00 noon onwards. Booths should be set up in time for the Early Bird Reception at 4:00 pm.
SHIPPING EXHIBIT MATERIAL
The hotel will store exhibit material for up to three days preceding the Conference. Please make sure that any shipped material does NOT arrive before THURSDAY OCTOBER 5, 2017
Any material shipped to the hotel should be carefully labeled as follows:

LARGE CRATES and BOXES
The hotel elevator dimensions are as follows:
48 inches wide
83 inches high
92 inches depth
4500 pound weight maximum
Shipping crates that are too large or too heavy to go on the elevator, will need to be broken down into pieces in the loading dock area and the content transported in sections. Crates can be stored by the loading dock. Crates that fit on the elevator, canbe carry up to the exhibi areat, disassembled at the exhibit area and the empty crates stored in the back hallway or designated storage area.
There are no staff on hand to assist with crate transportation or breaking down/repacking the crates. It is the exhibitor’s responsibility to handle their own displays, including transportation to the fourth floor, set up, break down and shipping.
There are a number of drayage companies who can assist. PLEASE MAKE YOUR OWN ARRANGEMENTS WITH THESE COMPANIES IF YOU WISH TO USE THEIR SERVICES. The drayage company will make arrangements for the shipping, delivery, relocation to exhibit booth, they will break it down and store the crate, then they will come back at the end of the event, pack everything back into the crate, bring it back down to the dock, make arrangements for shipment out and everything is taken care of.
